Note: You must have the authority, "Access Billing Transactions," to use the Transaction button. Also, you need individual authorities to access and perform each of the different billing transactions.
The Transaction tab has the following options:
Accept Agency Bill Renewal Offer: This Billing transaction verifies that the policy has a Bill Method of "Agency Bill" and is still in an "Offer" status. If the policy is eligible, the Renewal is automatically accepted when the transaction is issued.
Bill To Change: Used to change the original Bill To assigned on a single policy or account bill policies.
Change Automatic Refund Option: Used to set or change the refund option on a policy.
Change Automatic Refund Payee: This allows a user to change and save the "Pay To" on an Automatic Refund check for a specific policy rather than defaulting the check to the insured.
Change do not Accept Electronic Payment: This Billing transaction is used to prevent an agency from accepting an E-Check or EFT payment from an insured who has a history of insufficient funds with electronic payments.
Change Do Not Reinstate Flag: This allows policies to be flagged as "Do Not Reinstate." Users can also remove the "Do Not Reinstate" flag.
Change Installment Deduction Day: Used to change the deduction day of an installment billed policy. (Note: This does not include EFT, Credit Card or Payroll Deduction pay plans.)
Change Invoice Due Date: This allows a user to change the original due date of an "In-Force" policy to a future date.
Edit Blackout Information: This allows a user to change the hurricane blackout record for a specific policy record. If a policy already is associated with a hurricane blackout period, users may remove the flag by choosing "None" from New Hurricane Blackout combo box.
Edit Credit Card Information: If an insured has paid by credit card, this transaction allows you to change any of the information originally entered on the credit card, such as: account number, expiration date, vendor, etc.
Edit EFT Information: If an insured has paid by EFT, this transaction allows a user to edit any of the EFT information originally entered, such as: bank routing number, account number, etc.
Extend Cancel Date: This allows users to change the cancel date on a policy that is in Legal Notice of Cancellation.
Manage Account Bill: Allows you to create a new account, delete an account (providing there are no policies in the account), link or unlink policies from an account.
Manual Invoice: Allows a user to generate an invoice print event apart from a policy or billing transaction. It can be used to re-generate the invoice XML only.
Modify Policy Installment Schedule: This Billing transaction allows users to update the amount associated with future installments to meet a specific installment schedule for a policy. Additionally, it gives users the ability to adjust transaction dates of the installments.
Pay Plan Change: This allows users to change a pay plan on policies having a status of "Active" or "Future" without having to process a policy endorsement. Additionally, policies that are "New Business" or "Renewal Transaction" that are in a pending or quote status qualify for use of the Transaction tab.
Recalculate Future Installments: Used when a policy has a credit balance and has installments. The credit can be spread over the future installments.
Recalculate Installments After Dividend Refund (For companies issuing Dividends) When a company decides to refund any or all of a dividend payment, this is used to recalculate all installments for the current renewal version of a policy.
Referred to Collections: (For companies using Premium Collections): This Billing transaction allows you to mark a policy "Referred to Collections." It only adds a note to the Billing Activity Statement screen; it does not interface with any 3rd Party collection agencies at this time.
Submit Refund to Check Processing: Allows a user to "manually" post a refund check. Once the transaction is issued, the refund check is then processed through Diamond Processes: Check Processing - Refund Checks.
Billing transactions have the following status codes: "1" - Active, "3" - History or "4" - Pending.
