Note: Users need the authority, "Apply Experience Modification," (Diamond Administration group) to use this function.
This is the second step in the Experience Modification function. (Please see Import NCCI Modification Factors for the first step.) Apply NCCI Modification Factors allows the records imported from the NCCI file to be applied to the associated policies in the system. The user can select which modification factors to apply (by placing a check mark in the Selected box), and the system will determine how and when to apply the records (e.g., the Experience Modification Factor). It is recommended that the factors be applied in small batches. This allows the user to track the application of the factors and to track any errors that may occur.
After accessing Diamond Administration from the Diamond Agent:
Displayed in the list view are factors that have been imported. You can select one (1), multiple or all modification factors by clicking in the corresponding "Selected" field.
After selecting the factors you want to apply, click the Begin Process button. This then automatically applies all of the selected factors (that have previously been imported into Diamond) to their associated policies.
If the process completes successfully, the system returns a validation: "Applied Successfully."
Other toolbar selections:
Refresh Factors: This loads all the factors currently in the system that match the status currently selected in the Status combo box.
Status Combo: This shows all of the available Status Type factors that are currently in Diamond. This status indicates the current stage in the process (e.g., Applied, Failed to Apply, Applying, etc.) for each record.
View Messages: This shows any error messages associated with the currently selected record (i.e., one that contains a check mark in the Selected column) in the List View.
Experience Modification factor fields written to each policy include:
Bureau
Rating Effective Date
Modification Production Date
Experience Modification Factor
Status
Risk ID
Once the process has completed, you may access any of the policies to verify that the Endorsement applied the factor correctly by:
Accessing the policy, and
Selecting the Experience Mod link on the Policy tab
If one (1) or more policies error during the process, an error will be written to the Error Log. These policies will remain in the queue with a status: "Failed to Apply."
You can either double click the "Failed to Apply" message or you can highlight the policy and select the View Messages at the top of the screen. The error messages are kept in memory and need to be recorded before the user leaves the screen.
