Note: You must have the authority, "View Global AI List," (Diamond Administration group) to access this function for adding, editing and deleting additional interests. Additionally, there are two (2) system settings you have the option of enabling in the Controls / Additional Interests folder, which are: "Enable Deletion for Global AI" and "Include Single Entry for AI Lookup." The first setting allows a user to delete an additional interest from the databases as long as it is not associated with a policy. The second setting returns the entire list of additional interests including those that are marked as "Single Entry." Currently, these cannot be accessed from the policy side.
Additional Interests allows you to globally manage any additional interests that your company uses. Once they are added here, they are available for selection when entering policies.
To access Additional Interests:
Choose the Additional Interest selection from the Diamond Administration Tree View.
This returns the Global Additional Interest screen.
Before adding an additional interest, you should make sure the one you are adding does not already exist.
The Global Additional Interest screen is divided into two (2) sections: Search Criteria and Search Results (List View). You can search using any number of combinations listed in the fields below.
Fields for entry and selection include:
Group Type: This is the "type" of additional interest you are looking for (e.g., Lending Institution, Finance Company, Contract Holder, etc.); defaults blank. Select the group type from the combo box.
Name: If you are using this as your search method, the system requires validation of a minimum of the first three (3) characters.
City: If you are using city as your search method, the system requires validation of a minimum of the first three (3) characters of the city's first name also.
State: Select the state from the combo box.
Zip: Enter the zip code, if necessary.
Business Phone: If you are looking up an additional interest by their business phone number, enter the number here. You do not need any other search criteria.
Click the Find button. Those additional interests matching your search criteria are displayed in the bottom of the screen. If there are no additional interests listed, you may choose the Clear Search Fields button and re-enter other criteria.
To add an additional interest:
Select Add to return the Add Additional Interest screen. Fields for entries and selection include:
Name 1, Name 2, FEIN, Phone (Business), Email Address and Address Information.
Group Type: If you want to assign the additional interest to a specific group (e.g., Lending Institution, Finance Company, etc.), select the group type from the combo box.
Single Entry AI: This field is used to determine if the additional interest is added to the AI Master List as a re-usable lookup entry or not. The default is blank, which indicates the additional interest will be stored in the master list and will be returned if its matching criteria is found during a search. If this field contains a check mark, it will not be returned on any searches.
Click Save after all entries and selections have been made to return the Global Additional Interest screen. All information entered and saved defaults to the fields in the List View at the bottom of the screen. Those fields are protected and cannot be changed.
To edit an additional interest:
When the additional interest is displayed in the List View, highlight it and click Edit.
When the Edit Additional Interest screen displays, make any changes necessary, such as corrections to the name, street address, etc. and click Save. The changes are retained.
To "Inactivate" an additional interest:
When the additional interest is displayed in the List View, highlight it and click Edit.
When the Edit Additional Interest screen displays, click the Inactivate button.
Answer Yes to the question: "Are you sure you wish to inactivate <Name of Additional Interest> from the Additional Interest List?"
The additional interest is removed from the additional interest List View. If you wish to view additional interests that have been inactivated, click the Inactive radio button at the bottom of the screen. They are displayed in blue in the List View.
Note: To delete an additional interest from the databases, you must have the system setting "Enable Deletion for Global AI" set to "True" (Enable). Only additional interests that are not linked to a policy can be deleted.
To delete an additional interest:
When the additional interest is displayed in the List View, highlight it.
Click the Delete button at the top of the screen.
Answer Yes to the question: "Delete Additional Interest <#>?"
The additional interest is removed from the List View.
