Workflow Queues

Note: You must have authority the authority, "Workflow Queues," (Diamond Administration group) to set up Workflow Queues. You can add, edit and delete a Workflow Queue as well.

 

Workflow queues allow users, or the system, the ability of assigning tasks to a group of users as well as an individual. An example for the use of a queue is an Underwriting Queue. When a user inputs the necessary policy information to generate a rate and selects the Rate button, the system generates a message that an underwriter needs to review the policy before it can be issued. The user may then assign the task to the Underwriting Queue for underwriting approval. Anyone that is a member of the Underwriting Queue can take ownership of any task that is currently assigned to the Underwriting Queue and review the policy for issuance approval. If the task had been assigned to a particular user, only individuals with the authority to review other users' open tasks could access the workflow item. If that particular underwriter was out of the office for the day, that task may not be reviewed until their return. By utilizing queues, tasks still have the opportunity to be reviewed by multiple users in a more organized manner.

 

Simply put, workflow queues are nothing more than a placeholder for tasks that are not currently assigned to an individual user. Users that have been assigned to given queues all have the ability to work the list of tasks in the queues they are able to access.

Adding a Workflow Queue

To add a workflow queue:

 

  1. From the Diamond Administration Tree View, choose Users and Workflow Queues /  Workflow Queues selection

  2. When the Workflow Queues screen displays, select Add.

  1. This automatically places a blank line on the Set Up screen.

  2. Enter the name of the workflow queue, for example, "Claim Exceptions."

  3. Hit the Return Key. The workflow queue is added to the list view.

  4. Repeat the procedure to add any additional workflow queues.

Edit a Workflow Queue

  1. Highlight the workflow queue being renamed.

  2. Click the Edit button. This opens the line to make a change.

  3. Make your change to the workflow queue.

  4. Hit the Return Key. The workflow queue is renamed and appears in the list view.

Delete a Workflow Queue

Important Note: When Deleting a Queue

When deleting a workflow queue, you will receive the following message if users / agencies are currently assigned tasks in that queue: "This queue currently has users or agencies assigned to it. Deleting this queue will remove it from their queue list. Are you sure you want to delete it?" Answer No.
