Note: Prior to use, you must:
Specify the location of the where all positive pay files will be placed. This is found in the Check Folder,"Positive Pay Directory." All positive pay export and positive pay exception files that are generated will be placed into this folder.
You must have authority to access Check Processing to use this function.
Company Configuration Tool: Bank Account Setup - Establish a bank account (or accounts) that includes Positive Pay Export.
Positive Pay Exception is an import / export process that allows companies to send their checks to a bank for reconciliation. All checks can be processed including those that have been voided and manually written as well.
After using the Export Checks option and generating an XML file in the Check Processing Wizard, you can run the Positive Pay Exception.
From the Check Process Tree View, click Positive Pay Exception.
On the Positive Pay Exception screen:
Bank Account: Select the bank account to export the checks from. You may use the Detail button to view the Bank Account Detail screen, ensuring this is the correct bank account the checks are being exported from.
Positive Pay Exception Date Range (From / To Dates): The field defaults to the current date. If needed, you may override this date by entering a date range that is larger for the checks being included.
Click Export. All checks within the date range entered are added to a new file, "PositivePayException_XXXXXXXX" (where the "X's" represent the date stamp of the current Diamond system date). The file is stored in the directory specified in the Positive Pay setting in the Checks folder (Diamond System Editor).
When the export completes, Diamond returns a summary showing the number of checks that were exported. Click OK to finish.
Generally speaking only one (1) positive pay export file should be created per day. The file is created for the first time the export is run; however, if you need to run this again, the current file will be changed to include any new checks that were added.
