Archive Quotes

Note: This process is used for quotes only. Prior to archiving quotes in your system, the following system settings must be set up in the System Editor Transactions folder:

 

  1. "Archive Quotes on Deletion:" Values are "True" and "False." When set to "True," the system archives quotes when the Delete button is selected on the Policy Control Toolbar. When set to "False," quotes are not archived. They are deleted.

  2. "Archive Quote on Deletion if Third Party Report Exists:" Used with "Archive Quotes on Deletion." Values are "True" and "False." When set to "True," the system archives quotes (not deletes them) that have third party reports attached to them. When set to "False," these are not archived. They are deleted.

 

To archive a quote:

 

 

In the Client Files Lookup, under the client's name a Quote folder is created. Within that folder is a sub-folder: "Archived Policy Quotes," that contains the "written off" quote. Selecting that folder returns the quote.

 

When selecting the Policy History folder / Show Archived Images button, the quote is presented. Its status is "AQ" (Archived Quote) with a corresponding remark: "Quote archived due to deletion."

 

With Version 526 a new function, "Archive Process," was introduced in End of Day Processing. The "Archive Process" does not archive quotes. This process allows Attachments, Print Output and Workflow records to be archived.
