Note:
You must have the authority, "Purge Policies and Quotes," (Diamond Administration group) to access and run this function.
The following system settings must be set up in
the Policy Purging folder:
"Purge Policies Allowed:"
Set this to "True," for the UI to allow the purging of policies
in the environment.
"Purge Policy Months:"
This is the number of months to automatically purge policies in the
End of Day Process: Purge Policy Process. Once this process completes,
all policies are completely deleted from the system.
"Purge Quote Days:" This
is the number of days to automatically purge quotes in the End of
Day Process: Purge Quotes. Quotes are automatically deleted from Diamond.
There are two (2) ways users may purge either quotes or policies in Diamond:
Purge Process (Manually): Using the Purge Process here allows users to manually purge either quotes or policies through a specific date that are no longer needed. Diamond Administration uses the specific date entered by a user and purges unneeded quotes or policies that have a transaction date (Quotes) or expiration date (Policies) that are on or before that date.
End of Day Processing (Automatically): If Purge Quotes and Purge Policies are functions selected when End of Day Processing runs, the system uses system settings to determine how far back to purge from the current date. It then purges any quotes or policies that are older than that during the End Of Day process.
To purge quotes or policies manually, select Purge Process from the Diamond Administration Tree View.
When the Purge Process screen displays:
Purge Quotes / Purge Policies: Select one (1) or the other.
Purge Through: Enter a date or double click in the date field to produce a pop-up calendar for date selection. The date entered here is the date through which the purge process will occur. This date is used for comparison against the Expiration and Accounting Dates.
OK: To begin the purge process, click OK. Answer Yes to the confirmation question: "Are you sure you want to purge <Quotes or Policies> older than <Date Specified>?"
The process is complete when the Diamond Administration Tree View returns.
Other Special Notes:
The system purges policies based on the following criteria:
The Expiration and Accounting Dates must be less than or equal to the current system date minus (-) the number of months set in the "Purge Policy Months" (Policy Purging folder) system setting.
All policy images (for policies that match the above criteria) are purged from the system.
Policies that have claims will not be purged.
Purging policies cannot be undone except by restoring the database from a prior backup.
