Prior to running the Automatic Renewal Processing, make sure you have set up each of your agency's Renewal options in Diamond Administration or on the Employee Web Utilities / Administration: Agency Setup.
There are a number of different ways to run Automatic Renewals "manually." Listed below are some of those ways. The most common way is the first method: "All Renewals for All Types / Both Billing Methods."
If you are running the Automatic Renewal Processing "manually" as opposed to using the Scheduler and you want to process all renewals for all types (Renewals and Renewal Offers), and all bill methods (Direct and Agency Bill):
Type: Click "Both."
Bill Method: Click ""Both."
Select Process Renewals.
This action will renew all Company / States / LOBS that are set up to automatically renew.
When finished, the system displays the End Time and Elapsed Time.
This will process only those Company / States / LOBs that are set up for Renewal Offers.
This will process only those Company / States / LOBs that are set up for Automatic Renewal:
To process Automatic Renewals that are only Direct Bill policies:
Note: Messages (if any exist) will be added to the "Pending" workflow item for each Automatic Renewal that fails to issue. The Remarks column is restricted to a maximum of 750 characters. If the length of the remarks exceeds this amount, then the text of the remark will be truncated and an ellipsis ("...") will be appended to the end.
Automatic Renewals can be set up to run in an "unattended" mode via the Job Scheduler in the Company Configuration Tool.
Special Notes About Renewals...
If a report needs to be ordered, such as an MVR for an Auto policy, the "Pre-Process Renewal Lead Days" field is used to order the report. This requires that it is set earlier than the "Renewal Lead Days" so time is allowed for the report to be returned. A Renewal image is not created by the pre-process.
The "Renewal Lead Days" field is used by the Automatic Renewal Process to create the "Pending" Renewal image. It also assigns the task to the appropriate Underwriting Queue.
If you want Underwriting to create the Renewal image before the Automatic Renewal Process, the "Manual Renewal Lead Days" field can be set to a number of days earlier than the "Renewal Lead Days" field.
