Note: Users must have the authority, "Attach Item," to access the Attachments option in the Quick Links Tree View. (User Setup: System Group). Additionally, you need the authorities to add, edit and delete attachments.
Attaching documents and images in Diamond is done on three (3) levels: Client, Policy and Claim.
Client Attachments: You can affix documents containing information about the client. Information, in the form of attachments, held at the client level is considered separate and apart from a specific policy. An example of this may be a letter sent to the client when their application was first submitted and accepted as new business (i.e., a welcome letter, credit report, etc.).
Policy Attachments: You can add items such as forms or letters specific to a client's policy. Policy attachments may include items such as ACORD forms originally submitted with the application, an MVR, statement of odometer reading, legal letter, etc.
Claim Attachments: You can attach items specifically related to the individual claim record. Claim attachments may include photographs, loss reports, repair estimates, witness statements, etc.
Add: Adds an attachment.
View (Magnifying Glass): Opens the attachment to review.
Delete (X): Selection removes an attachment from the client, policy, or claim record; warning is displayed prior to deletion.
Edit (Description): When a document is first attached, the Description field is blank. A description may be added with this function.
Write Letter: Use to write a letter as an attachment.
Display This Level Only: Select to display attachments at the current level only.
Display This Level Down: Choose to display attachments for the current level and every level beneath the current level.
Display This Level Up: Select to display attachments for the current level and every level above the current one.
Display All Levels: Displays all levels of attachments.
Display All at This Level: From the Policy Detail screen, this allows a user to view all "Policy Level Attachments" for a client. The same holds true when viewing a claim; users may view all "Claim Level Attachments" when accessing a claim or a client.
