From the Diamond Home Page, you have your choice of different lookup methods when selecting Searches / Policy Search. Policy Search gives you many ways to locate information.
On the left of the screen, you may select the criteria for which to search and locate quotes / policies. Currently, these are:
Additional Policyholder (Commercial Lines Only)
Address
Doing Business As
Full Name - Known as "Display Name" (e.g., Bill Anderson)
Name (First, Middle / Last)
Phone Number
Policy Number
Quote Number
Manually Created Client Identifier
Depending on your selection for search criteria, the screen changes to enter corresponding criteria.
Let's say, we are searching by Full Name (Display Name). When "Full Name" is chosen, the search criteria, shows a Name field:
Full Name (aka Display Name): Enter the policy's applicant (e.g., Bill Anderson).
Partial Match: To broaden the search, click to place a check mark in the field.
Display <#> Items at a Time: The default is 50; however, you may change this by entering a number less (or more) if you wish.
Search: To begin your search, click the Search button.
When the system finds items matching your search criteria, a Grid View is displayed with the policies.
If you wish to access the policy, click the folder icon opposite the policy's name. This brings you directly to the policy.
Other fields displayed are:
Exclude Quotes: Only policies are displayed; quotes omitted from search.
Exclude Cancelled Policies: Cancelled policies are omitted.
Legacy Policy Number (When searching by Policy Number only): When entering a "Legacy Policy Number" (or a policy that has been converted from a different system), placing a check mark in this field indicates this is a "Legacy" policy.
The following conditions represent how this function works:
1. The Edit (pencil) icon will appear next to policies when the user owns at least one transaction currently in progress.
2. The Acquire icon will appear next to policies when there is at least one transaction currently in progress and the user does not own any of them.
Selecting the Edit icon does the following:
1. When there is a single transaction in progress, then that policy image will be loaded into the appropriate workflow so that the user can continue processing.
2. When there are multiple transactions in progress owned by the user, then the transaction will be opened identically to how Quick Policy Lookup works.
3. When there are multiple transactions in progress, then a modal popup extender will be displayed to the user which will allow them to select the transaction.
a. Transactions owned by the user will have an Edit icon. Clicking on the Edit icon works like #1 above.
b. Transactions not owned by the user will have an Acquire icon. Clicking on the Acquire icon
works like #1 below.
Selecting the Acquire icon does the following:
1. When there is a single transaction in progress that is not owned by the user, then that policy image will be acquired and loaded into the appropriate workflow so that the user can continue processing.
2. When there are multiple transactions in progress, then a modal popup extender will be displayed to the user which will allow them to select the transaction to acquire.
Agency users will not be allowed to acquire “Pending” (not Quote) transactions.
