Note: You must have authority to access or edit any information on the Client Screen.
Client Search is accessed by selecting Searches / Client Search from the Diamond Home Page. It is used to edit / or maintain data on a client.
Search options include:
Client Name: Enter the last name you are searching for and click Search. All last names matching your search criteria are displayed. When searching by this method, you may have many clients with the same last name (e.g., Johnson). If that is the case (and you do not want to be scrolling through hundreds of names searching for the correct "Johnson"), you can limit the number of searches returned. Let's say, you are looking for a client whose name is "Timothy Johnson." Criteria would be entered by using the following in the Search Criteria: Johnson; T In other words, you would capitalize the first letter of the last name, followed by a semicolon, enter a space, then a capital T. All of the clients matching this search criteria would be returned.
Client Id: Enter the numeric value assigned to the client; click Search. Shown in the Grid View at the bottom of the screen is the client whose Id was entered.
Once you have your client displayed, click View to access the Client screen. Information shown includes:
Client Snapshot: Gives a brief synopsis of the following: Year when client first started with your company, any late payments (last 3 years), any Pending Tasks / Reinstated Policies within the last six months, mortgagee bill policy, any claim reported in the last 30 days and E-Mail notifications.
Recent Communication: When adding a client, every client will get a new Client Conversation record. When issuing a policy or performing a Pay Plan Change, the appropriate field corresponding to the above check boxes will be set in this table.
Policy Information: Selecting the plus (+) sign next to the policy opens the Policy Transactions, Payment History, Claims and Policy Holders tabs.
Billing Information (Pay Plan, Current Activity, Next Activity, Most Recent Payment, Current Balance, Recent Payments, Future Installments, The Payment History and Future Installments can be viewed by clicking each row.
Billing Account Information
Claims Information: Open / Closed Claims, Transactions (Note: Each can be viewed by clicking on the associated row.)
Policy Holders: The Type, name and Lex ID.
In addition, the Client screen
contains the following tabs:
Another tab, Choice Point Reports, is controlled by the system setting, "View Reports for Client," in the Choice Point folder in Diamond System Editor. When this is set to "True" (Enable), the Choice Point Reports tab is displayed on the screen. Basically, this is used for testing reports transmitted from Choice Point at the Client level.
Discussed Payment Plans and Discussed Automated Payments: These are tied to the type of Pay Plan the client has. If a client has any policy with a Pay Plan having multiple installments, or any Pay Plan that is EFT / Credit Card, the appropriate check box of "Discussed Payment Plans" or "Discussed Automated Payment" will be checked.
Change Client Name 1 Name / Change Client Name 2 Name: Select the link to return the Client Names screen to edit the policyholder's name or address.
Billing Account Information: This link can be used to return the Billing Account Information screen. If a policyholder has multiple policies linked to a single billing account, these are listed on the screen.
Show Archived Quotes: Click in the box placing a check mark to display archived quotes.
Save: Retains any information that has changed.
Cancel: Exits the screen; if changes have been made, information is not retained.
Enter Quotes: Allows for entry of a new quote.
Current: Due $ on MM/DD/YYYY Below the Policy Information section of the screen, this will appear as a link if the current amount on the policy is greater than zero (0). When selected, the Receipt Control is opened in a popup and allows a user to make a payment on the policy.
